Organising conferences

This can be one difficult task where the company’s name is at stake, it may take years to build a company’s reputation and one silly mistake at one important conference can mess it up real bad.

The first step would be to contact conference organisers because there are several well know agencies in the field for a number of decades, but if you feel that you have a team which would manage better or if you feel your budget would not suffice. Then be game for some serious work. Or even if you hire outside agencies you should know the following basics so that you can check on them at any time.

Once the venue is decided check whether it can accommodate the seating plan you have in mind and whether the guests will be comfortable, the travel plan has to be chalked out as to how the guests will travel to the venue –whether there will be a pick up from a particular location or they travel in their own vehicle. The final checks would be the decorations and equipments, if any have to be in place and technical help should be close by e.g. Microphone, projectors, screens etc. should be in good and working condition, small glitches in them could cause loads of embarrassment.

Be cheerful and cheer up your team as well. But if you have conference organizers you can peacefully sit down in your designated seats and enjoy the show as you can be sure that they will do a good job of putting your companies name up.
